Open BOARD OF DIRECTORS and DEPUTY DIRECTOR Positions

BEAR CAFE New York Inc. is currently looking for individuals interested in serving on our all-volunteer BOARD OF DIRECTORS for the July 2006 to June 2008 program year (2-year term). We are now in the midst of BEAR CAFE's fourth full year of operation. We have several vacancies on our current BOARD OF DIRECTORS (instituted in September 2004).
BEAR CAFE New York Inc. is also currently looking for individuals interested in serving as DEPUTY DIRECTORS for various program areas in BEAR CAFE. A Deputy Director is not a Board member, but instead functions as an assistant ("right-hand man") to a specific Director, Chair or Officer. All Deputy Directors are volunteers, and will serve from July 2006 to June 2008 program year (2-year term). We have several vacancies in our current DEPUTY DIRECTORSHIPS (instituted in July 2005).
Being a member of the BEAR CAFE BOARD OF DIRECTORS or a DEPUTY DIRECTOR has the rewards of creating great, innovative, alcohol-free social events that are welcoming to ALL men: Gay, Bi, Transgendered and those in the midst of questioning their sexual orientation. In addition, we showcase and promote homomasculine artists and musicians whose work encompasses the lives of these folks. While these positions do involve service, work and responsibility, they are a lot of fun as well!
We seek diversity on our BOARD OF DIRECTORS, as well as in our DEPUTY DIRECTORS, just as we seek diversity in our membership and among the attendees at all our events (Please see BC's "Statement of Inclusion" below).

DEPUTY DIRECTORS
Duties include, but are not limited to:
- Assist (i.e. be the 'right-hand man') a particular Officer, Director or Chair of an event.
- Attend Board meetings in the absence of a Director or Chair, and issue a report.
- Fill in, in an emergency, for a Director or Chair at an event.
- Meet with the Board of Directors (through regularly scheduled 'brainstorming' sessions) to provide valuable input and feedback both from themselves, and from our members and guests.
It is understood that a Deputy Director is a member 'in-training' for a future elected Board position, and/or a member who seeks more responsibility and recognition as a volunteer within the organization.

STATEMENT OF INCLUSION:
BEAR CAFE New York, Inc. (BC) is an independent, not-for-profit, wholly volunteer-managed organization within the LGBT, Bear and Big Men's communities of New York City. We welcome the membership and participation of all persons, 18 years of age or older, regardless of creed, ethnicity, gender, gender identification, HIV status, national origin, physical ability, race, religion or sexual orientation.

STATEMENT OF VISION:
BEAR CAFE New York, Inc. (BC) is a place where all Gay, Bisexual and Transgendered Men and our Friends are welcomed – to meet, socialize, play games, entertain and learn from each other in a comfortable, alcohol-free atmosphere. Here, many of us wish to explore what it means to be a Gay, Bisexual or Transgendered Man within our society – specifically the outer physicality, including, but not limited to, looks, size, build, weight, hairiness and muscles (or lack thereof); and the inner attributes including, but not limited to, camaraderie, sexuality and spirit. BC was originally founded to support and provide events for Bears, Cubs, Chubs and their Admirers, all who still remain important constituency groups within BC. Today, though, our "Welcome!" to all folks is made more explicit. In addition, BC is a showcase for all homo-masculine culture: Music, Song, Art, Photography, Film, Video, Writing and Theater, and those creating it.

Director of Fundraising
Duties include (and are shared with the Deputy Director to Fundraising):
- Seek input from the Board of Directors in regards to the financial needs of the organization, as it pertains to raising money for operational and event related expenses.
- Identify and report to the Board on any available or potential new sources of funding for the organization which would help cover its operational and event-related expenses. Research all donors to ensure they meet the Board's ethical expectation before any monies are requested and transferred.
- Secure said funding for the organization, to best of ability, through:
- Cultivate leads in membership sector for those interested in personal monetary contributions. This would include one time monetary donations, regular giving, those interested in making the organization a benefactor of their estate, etc.
- Address corporate community for overall monetary financing of organization to cover general overhead.
- Secure monetary funding for special events.
- Negotiate 'in-kind' (non-monetary) sponsorship packages for goods and services for the organization.
- In conjunction with PR, Outreach and Membership to design and coordinate fundraising-PR-outreach-membership campaigns that utilize current trends.
- In conjunction with Advisory Board, develop yearly one major event where the organization is the beneficiary of all proceeds.
- Maintain relationships with vendors from the past as to facilitate an open door for future sponsorship.
- Provide monthly Fundraising report to the Board.
- In consultation with the Treasurer, create a yearly budget, to present to the Board for approval.

Director of Service Workers & Volunteers
New BEAR CAFÉ New York Inc. 2006-2007 membership requirements will now change how this new position will function. This person would head up a team of himself and (at least) two Deputy Directors.
Duties include (and would be shared with the Deputy Director(s) to Service Workers & Volunteers):
- Address staffing needs of the organization and its events, both internal and external.
- In conjunction with Program and Event organizers, determine the types of service work-volunteer positions needed, length of shifts, individuals needed per shift and number of shifts needed, per event/activity.
- Utilize, maintain, and update the service work-volunteer database given by the Membership Director. Send out a call for volunteers to this updated list once a week that reinforces the need for help at group events.
- Make follow-up phone calls to service workers the week of the event (Thursday) to confirm their attendance and participation.
- Have service workers and volunteers sign in and out of the event in order to keep track of who is and isn't working at events.
- Oversee, with the help of a Deputy Director, the Setup/Door/Hospitality/Coat Check/Security/Breakdown (and any other facets) as it pertains to service workers and volunteers. (Requires that both or either person be present for each of these facets.)
- Develop incentives to maintain adequate numbers of volunteers, both returning and new i.e. discounts on club merchandise, Volunteer Thank You Party, etc.
- Recruitment of Deputy Director, knowledgeable about events to fill in for the Volunteer Director, in cases of emergency.
- Oversee in person the service worker and volunteer force for the setup of all Major events as determined by the Board.
- Delegate and/or develop volunteer 'pitches' to members, about volunteers needed for future events, to be made at current events. 'Work the room' along with other Board members for new volunteers.
- Obtain written “Why I Volunteer” blurbs from volunteers for PR Director.
- Provide a monthly Service Workers-Volunteers report for the Board
- In consultation with the Treasurer and the Director of Fundraising, create a yearly budget, to present to the Board for approval.

Chairperson of Bear Cafe Bake-Off
Duties include (and would be shared with the Deputy Director to Bear Café Bake-Off):
- Chair/Primary organizer of the BC BAKE-OFF in the Fall.
- Seek, plan, utilize, and coordinate the input necessary from BC’s Program, Outreach, PR, Fundraising, Communications, Volunteers, Hospitality, Treasurer and other directors necessary for a successful major event.
- Coordinate Registration (entries); Layout; Décor; Ad Sales; Judges; Sponsors (with Fundraising). Seek advance input from all Board members.
- Provide a monthly Bake-Off report to the Board.
- In consultation with the Treasurer and the Director of Fundraising, create a yearly budget for the event, to present to the Board for approval.

Chairperson of Pride Activities
Duties include (and would be shared with the Deputy Director to Pride Activities):
- Chair/Primary organizer of the organization's involvement with Heritage of Pride March (i.e. registration, marshal training, float or vehicle), and other special June Pride events so decided by the Board.
- Seek, plan, utilize, and coordinate the input necessary from BC’s Program, Outreach, PR, Fundraising, Communications, Volunteers, Hospitality, Treasurer and other directors necessary for a successful major event, Pride March contingent, float or vehicle. Seek advance input from all Board members.
- Provide a monthly Pride March report to the Board.
- In consultation with the Treasurer and the Director of Fundraising, create a yearly budget for the event, to present to the Board for approval.
